Your first day at a new US job comes with a stack of forms. The most consequential one is the W-4. It determines how much tax your employer withholds from each paycheck. Fill it in badly and you'll get a smaller refund, or find yourself owing money. It's worth taking seriously on day one.
📌 What the W-4 is
Its full name is the Employee's Withholding Certificate。
In effect, it tells your employer:
Are you married?
Do you have children?
How much federal income tax should be withheld?
Based on your answers, they withhold a portion of each paycheck and remit it to the IRS.
📌 Why it matters
Because it directly determines whether you get a refund or a bill。
Withhold too little: bigger paychecks now, a tax bill in April.
Withhold too much: smaller paychecks, but a larger refund later.
A lot of people get a shock at their first filing:
"Why do I owe this much?"
Usually the answer is that the W-4 wasn't filled in correctly.
📌 How to fill it in
The form has several sections:
1️⃣ Personal information
Name, address, Social Security number (SSN), and filing status (single or married).
👉 If you don't have an SSN, you'll generally need an ITIN before you can file.
2️⃣ Multiple jobs or working spouse
If you hold two jobs, or both spouses earn, check this. Otherwise, too little gets withheld.
3️⃣ Dependents
Children and other qualifying dependents go here, and they reduce what you owe.
4️⃣ Other adjustments
For instance, asking for extra withholding so you don't owe at year end.
📌 Common mistakes
❌ Not filling it in, so the employer defaults to the wrong withholding.
❌ Ignoring a spouse's income, and owing money at filing.
❌ Not realizing children can be claimed, and losing the refund.
📌 Checking that you got it right
✅ On day one, ask HR: "Do I need to complete a W-4?"
✅ When your first paycheck arrives, check whether the withholding looks reasonable.
✅ Use the IRS's own Withholding Estimator tool to check: IRS Estimator
✅ When your circumstances change (marriage, a child, a new job), update the W-4.

Don't skip it, or April will surprise you.
